# Sharing

[Canonical page](https://portraitresearch.com/documentation/documents/sharing/)

## Applicability

- **Task:** Understand and manage sharing of Deep Research reports and screens
- **Access:** Portrait account; sharing enabled for the organization; ownership to manage recipients
- **Audience:** Portrait users collaborating with teammates
- **Surfaces:** web
- **Workflow status:** current
- **Availability:** Production with account-dependent capabilities
- **Content type:** reference
- **Last reviewed:** 2026-09-08

Sharing gives selected teammates read-only access to **Deep Research reports** and **screens** in the Portrait web app. It must be enabled for your organization, and recipients must belong to the same organization.

## What you can share

| Content | Sharing inside Portrait |
|---|---|
| Deep Research report | Share an individual report that is not assigned to a Project |
| Screen | Share the saved screen with teammates |

> [!IMPORTANT]
> Projects cannot be shared. Sharing a report does not share its former Project or other contents.

Sharing is different from [exporting a file](https://portraitresearch.com/documentation/reference/output-formats/). Sending a Portrait URL alone does not grant access.

## Share with teammates

1. Open your Deep Research report and choose **Share**, or open **Share** on your screen's row in the screening list.
2. Search for teammates by name or email and select recipients. Each selection updates access immediately.
3. Reopen the control and check **People with access**. Recipients have **Can view** access.

Recipients can read the original; they do not become its owner or gain editing access. Source access remains individual: teammates need their own Third Bridge access to open Third Bridge sources.

## Find work shared with you

In Deep Research or Screening, use the **Shared with me** filter. Open an item to read it. Use **Create a copy** when you need your own version to change or organize.

| Action | Deep Research report | Screen |
|---|---|---|
| **Create a copy** | Creates an independent report in **Your Deep Research**; unavailable while the research is running | Creates an independent screen, including its latest completed run when available |
| Automatic runs | Not part of report sharing | The copy does not inherit the original's automatic-run schedule |

Changes to the original and the copy do not propagate between them. A copied report does not give you the owner's uploaded files as inputs for later research; select your own accessible sources before starting a new request.

After copying a screen, check its run history and results. The screen can be copied even if its latest completed run or outputs could not be copied. Review its filters and schedule before running it yourself.

## Change or remove access

As the owner, reopen the sharing control and deselect a person to revoke their access. Check **People with access** again to confirm the change.

As a recipient, use **Remove my access** to stop accessing the shared original. This does not delete the owner's content. Removing access affects the shared original; it does not delete independent copies already created.

## Projects and shared reports

A report assigned to a Project cannot be shared. Remove its Project assignment before choosing **Share**.

To assign a report you already share to a Project, first remove all recipients. If someone shared the report with you, use **Create a copy**, then assign your copy to a Project. See [Projects](https://portraitresearch.com/documentation/documents/projects/) for Project organization and lifecycle.

## If sharing is unavailable

- **No Share control:** confirm that you own the item and that sharing is enabled for your organization.
- **Report belongs to a Project:** remove its Project assignment before sharing.
- **No teammates available:** only people in your organization can be selected.
- **Could not update sharing:** check your connection, retry, and reopen **People with access** to confirm the saved recipients.
- **Cannot open a shared item:** check the signed-in account and ask its owner to confirm your access. Access can also stop if you leave the organization or sharing is disabled for it.
- **Cannot copy a running report:** wait until the research is no longer running.

If the problem persists, [contact Portrait support](https://portraitresearch.com/documentation/more/contact-us/) with the item URL and the displayed error.
