My Library (under Reference in the left navigation) holds uploaded files, notes, prompt templates, Easel skills, and supported outputs saved by Easel. Ordinary files and notes can have company associations; skills and their supporting content do not. In a supported composer, use @ for a note or upload; in Easel, use / to select a skill.
The explorer opens on Recent, with the latest activity first. Files, Prompt Templates, Skills, and Memory have their own tabs. Select an item to open its full-page reader; use the breadcrumbs to return to its folder or tab.
Files
Your files, notes, and the folders that hold them. The Text filter includes both Portrait notes and text or Markdown files. Documents filters word-processing formats such as DOCX, ODT, and RTF; it is not the name of the Files tab.
- Upload files — drag and drop onto the page, or use the New menu in the Files tab. You can bring in a whole folder at once, with up to 50 files staged in one upload; Portrait recreates the folder structure. The Library upload dialog accepts file types beyond those research workflows can read. Review the format table below before relying on an upload as evidence.
- New note — write directly in Portrait: a name, optional company associations, and rich-text content up to 48,000 characters. Notes reopen in the same editor whenever you want to update them.
- Folders — create, rename, move, and delete them, and drag items between them. Portrait identifies a non-empty folder and asks before deleting it with everything inside. You can undo a confirmed folder deletion for a few seconds; after that window, the folder and included content are deleted permanently.
Renaming an upload or changing its company associations does not edit the uploaded file content. A successful upload means the file is stored; Deep Research may still need time to prepare it for reading.
Storage, preview, and research formats
| Format | Library behaviour | Deep Research input |
|---|---|---|
.txt, .md, .markdown |
Imports within the note limits become editable notes; larger imports remain original files. Both appear under Text | Notes are readable immediately; original files require research processing |
.log, .csv, .tsv, and supported code/data formats |
Stored as original files, with an available text, table, code, or data preview | Supported formats require research processing |
.pdf |
PDF preview | Supported after research processing completes |
.docx |
Preview through a prepared display PDF | Supported after research processing completes |
.xlsx |
Workbook grid with supported dropdown and column-width adjustments; see below | Supported after research processing completes |
.xlsm |
Workbook preview; macros do not run | Not supported as a Deep Research input |
.html, .htm |
Sandboxed HTML preview | Supported after research processing completes |
.pptx |
Slide preview with hidden-slide indicators and available Speaker notes; PDF fallback when available | Supported after research processing completes |
.pptm, .ppsx, .ppsm, .potx, .potm |
Slide preview; macros do not run; no PDF fallback | Not supported as a Deep Research input |
| Supported images, including PNG and JPEG | Image preview | Not supported as a Deep Research document through this upload path |
Legacy .doc, .xls, .ppt, archives, and other unsupported binaries |
Stored for download where accepted | Not supported as a Deep Research input |
An extensionless file identified as plain text or Markdown can also become a note. Automatic note import is limited to files up to 1 MB and content up to 48,000 characters; larger content remains a file, with its original bytes preserved. Editing an existing supported text file can convert it into a note without changing its Text family. Code and data files retain their original format.
This table describes Library storage and Deep Research input. Easel has its own file-reading tools; an image visible in My Library is not proof that Deep Research can analyse it. See Easel and My Library for that workflow.
Adjust an Excel workbook
In a supported current workbook, change an existing dropdown selection to recalculate its results, or drag a column boundary to resize it; double-click the boundary to fit its contents. Use the workbook's Undo and Redo controls to reverse adjustments. Free-form cell or formula editing is unavailable. Protected sheets and unsupported calculations restrict these controls; a preview warning identifies omitted content or unavailable results. Open the file in Excel when the required feature is unsupported.
Adjustments are backed up on this device and grouped into saved versions while the app is running. Opening Version history, entering Request changes, or sending the adjusted workbook to Easel saves its current snapshot first. A pending local draft is unavailable to another device or a scheduled run until saved. Download includes the displayed adjustments without creating a saved version. Zoom, selection, scrolling, and gridline visibility do not change the file.
If saving fails, keep or download the adjusted workbook and use Check again. If A newer version is available appears, inspect it with Open latest version; your earlier adjustments are retained separately, not merged automatically.
Processing, versions, and recovery
A file can be ready to download or preview while Portrait is still preparing it for search or Deep Research. Seeing a preview does not necessarily mean Deep Research can read it yet. Easel can also read supported original files; see Use My Library in Easel for that workflow.
- Before using the file in Deep Research, check that its processing has completed. An unfinished upload is not a completed attachment; a completed upload may still be processing for Deep Research.
- If processing fails, inspect the error. An unsupported format needs conversion to a supported format; a size-related failure may require a smaller document.
- If an upload reports Skipped, check for an existing file with the same name in that folder. A name collision does not replace its contents or create a new version. Rename the new file or choose another destination if you intend to keep both.
- The explorer lists the latest version of each item. Open Version history in a supported file or note's reader to inspect earlier saved versions. Restore this version, when available, creates a new current version and keeps the earlier versions. If a restore cannot be confirmed, reload history before retrying; check the current version and its content.
- When Deep Research includes files through their company associations, it selects the latest version and can use it only after processing completes. It does not fall back to an older processed version when the latest version is unavailable. Check the selected item and its processing status both for explicitly referenced files and for files associated with a selected company.
If expected content is missing from a report, inspect readiness and associations, then verify the report's citations and coverage. A report can complete while an unavailable item is omitted. See Deep Research status and recovery.
Prompt templates
Research prompts you want to run again, grouped into two buckets: Deep Research and Easel. Use New → Prompt template to choose the kind, name it, and edit it in the reader. A Deep Research template can also store companies, coverage period, and sources; an Easel template stores the reusable prompt. Portrait's own curated prompts are available in the composers too — see Select from Prompt Library.
Skills
In Skills, choose New → Skill, or Import skills to turn supported Markdown or text files into skill packages. These actions create the required SKILL.md inside a named skill folder. An arbitrary note or a file uploaded into Files is not automatically an invocable skill.
Add supporting files inside the skill's folder and describe how to use them in its instructions. Select the skill with / in Easel, then confirm the intended procedure and supporting content were used. See Create and use an Easel skill for package structure, limits, and troubleshooting.
Find an item
Filter by name narrows the current list, keeping matching items visible under their folder or bucket. The search stays active when you switch tabs.
Filter by file type offers the file categories available in the current tab. Text groups notes and text files; Documents selects word-processing formats. Select several types to include any of them, and combine them with the name search. An applied filter remains removable even if a different tab has no matches. In Recent, a type filter also includes matching supporting files inside Skills.
Sort with the column headings: Name, Last activity, Size, or Type in Recent. Check rows, folders, or groups to reveal the available selection actions: Use in Easel, Move, Delete, or Run templates. Protected content can restrict an action; review its explanation and the selected scope before proceeding.
Add notes by email
Add via email shows the library inbox address. Send from the address linked to your Portrait account, allow time for processing, then verify the resulting note and attachments in My Library. Use a first-line tag such as [tickers:RTX.US,BA.US] to propose company associations. Inline email images are skipped; attach a file separately if you need to store it. If an expected item is missing, check the sender and attachment format, then contact support without forwarding credentials or private source content.
Your library across Portrait
- Press @ in a supported prompt composer to mention a note or upload, pointing that request at the exact item.
- Enter / in the Easel composer to select a saved skill.
- Easel can use items you attach or mention and can save requested files back to My Library. See Use My Library in Easel.
- Deep Research selects the latest version of your notes and uploads associated with any selected company and uses content that has finished processing for research. Review company associations and processing status before running; leaving Project-document selection empty does not exclude that context.
- Deep Research can use documents included through its project and source controls.
My Library is not an automatic context source for every workflow. Screening and Mosaic do not read library items as implicit input, and you should not assume a Monitor uses a file unless its setup explicitly includes that context.
The explorer's Ask Easel box starts work about the library; an item's box supplies that item as context. Returning to a page starts a new question; use View history to continue an earlier conversation. On an eligible file or note, Schedule research creates a task that follows its latest accessible version. See Create a scheduled task before enabling it.
For reading and searching Portrait's own corpus of filings and transcripts, see Company documents — a separate surface from your own library.
Memory and Scheduled Research
The Memory tab contains Easel's editable Profile and company memory notes. Read Inspect and update Easel memory before changing them. The protected Scheduled Research area stores recurring-task outputs and continuity; do not treat its task state as a copy of analyst memory.
An email-only trial does not include My Library login. Those users need the result in the email body or delivered attachments, rather than an app link.
